JOB SUMMARY:
Performs a wide variety of specialized clerical duties in support of the Municipal Court including records management, data entry and courtroom clerical support; and to provide information and assistance to the public.
ESSENTIAL FUNCTIONS: (Duties may include, but are not limited to, the following depending upon assignment)
- Receives, records, tallies and processes fines, restitution payments and fees accurately and correctly recording applicable information on the case.
- Clarifies, answers, and explains procedure to defendants as they exit the court room following court hearings by receiving monies, assigning court dates, providing documents and information as ordered by the presiding Judge.
- Maintains file for accounts receivable cases; sends out past due notices; and processing suspension forms for nonpayment of fines and costs.
- Receives, logs and records various legal documents. May include reading for completeness and accuracy and rejecting improper documents.
- Provides information to the public and other parties of court proceedings regarding the process and court schedules. Assists the public in completing forms without offering legal advice.
- Answers phone and responds to general inquires about various court procedures.
- Enters regional and highway patrol citations into computer; prints dockets.
- Updates and maintains all work program cases; approves clients for enrollment and verifies their completed hours with help of responsible agency.
- Uses computer to enter and retrieve reports so that materials can be easily located; searches for and locates missing reports and files; retrieves files and cases.
- Interacts with defendants, attorneys and other persons requesting information or documents related to warrants, court cases or other related matters.Assembles by printing and preparing for entry all warrants; enters and clears warrants into state criminal database.
- Opens, sorts and appropriately processes mail according to instructions and type of transaction.
- Confers with Detention Center staff to verify scheduled in-custody cases.
- Prepares bench warrants; failure to appear warrants; summons and new citations for upcoming court dates by updating information in computer; prints new docket; researches related cases; and assembles paperwork.
- Prepares in-custody cases for court confirming status with detention center.
- Prepares summons by entering new complaints from city attorney office into computer.
- Enters case dispositions simultaneously into court program during court session.
- Verifies and prepares court session calendars.
- Matches, organizes and reviews disposition entries for accuracy after court session.
- Researches and answers questions regarding court case activity.
- Files documents into case files.
- Notarizes documents.
- Submits amended violation convictions to DMV.
- Prepares and mails correspondence providing court dates, fine amounts, and general court information.
- Performs other related duties as assigned.
MINIMUM QUALIFICATIONS REQUIRED:
Training and Experience:
- High School Diploma or equivalent.
- Twelve months’ office experience in clerical, accounting, legal or other related clerical field.
Licenses and Certifications:
- Must type 40 accurate net words per minute as demonstrated by a typing certificate dated no more than one year prior to the date of application.
- Must possess a valid state driver's license and maintain satisfactory motor vehicle record with the ability to obtain appropriate Nevada state driver’s license within required time frame.
- Ability to receive NCIC certification within six months.
Knowledge, Skills and Abilities:
- Communicating orally with others in order to give and receive information in a courteous manner.
- Using tact, discretion, initiative and independent judgment within established guidelines.
- Records maintenance and control, preparation of a trial calendar, performance of courtroom clerical functions and accounting for cash receipts and disbursements.
- Ability to perform basic mathematical calculations.
- Ability to learn complex document processing procedures and research appropriate procedures for unusual situations.
- Ability to deal diplomatically with the public.
- Ability to balance drawers, compute bank deposits and balance with data processing and accounting.
- Ability to maintain information confidentially.
- While performing the essential functions of this job, the employee is frequently required to stand, walk, sit, use hands to finger, handle or feel, climb or balance, talk and hear and lift and/or move up to 10 pounds.
